Analytics gives you a real-time view of how the practice is performing across appointments, patients, providers, and outcomes such as completion and no-show rates.


Plan access

Analytics is available on Group plans and above.

If your practice is still on Free, Solo, or Starter, you can run daily operations normally, but analytics will stay locked until you upgrade.


What the analytics dashboard shows

The Analytics page combines high-level KPIs with breakdowns you can explore in more detail. It is designed for operational insight rather than financial back-office reporting.

At a glance, you can track:

  • Appointment volume
  • Completion rate
  • No-show rate
  • Cancelled appointments
  • New patient growth
  • Provider activity
  • Service-level demand patterns

Date ranges and presets

You can analyze performance with:

  • Presets such as Today, Last 7 days, Last 30 days, Last 90 days, This month, Last month, and This year
  • Custom ranges when you need to compare specific periods

The dashboard updates as soon as you change the selected range.


Key performance indicators

Genkō surfaces seven core KPIs for the selected date range:

KPI What it means
Total appointments All appointments in the period
Completed appointments Visits that were completed
No-shows Appointments marked as no-show
Cancelled appointments Visits cancelled by staff or patient
Completion rate Completed appointments divided by total
No-show rate No-shows divided by total
New patients New patient records created in the period

Breakdowns and filters

Below the KPIs, you can review the data by:

  • Day to see trends over time
  • Appointment type to compare services
  • Provider to compare workload and outcomes
  • Status to understand the mix of completed, cancelled, scheduled, and no-show visits

These breakdowns help answer operational questions quickly, such as which provider has the highest completion rate or which service attracts the most no-shows.


Export data

Use Export to download analytics in:

  • CSV
  • Excel

Exports are helpful when you want to do custom analysis in Google Sheets, Excel, Power BI, or Tableau.


Best practices

  • Review analytics weekly, not only when something goes wrong.
  • Watch no-show rates after enabling the portal or changing reminder workflows.
  • Compare providers and services before adding new schedule rules or staffing.
